Tour Booking Terms & Conditions
By signing and submitting a booking form, you confirm that you have the authority to make the booking for yourself and any other travelers included.
Submitting a booking form means you have read, understood, and accepted these Terms & Conditions.
A booking is confirmed once you receive a written Booking Confirmation from Tripcare Adventures.
A 35% deposit is required within 3 days of booking confirmation. This deposit is non-refundable.
The balance (final payment) must be paid no later than 45 days before the tour start date.
If your booking is made within 45 days of the start date, the full amount is due immediately. Payments must be made via bank transfer or other approved methods stated on your invoice.
In Uganda and Rwanda, chimpanzee and gorilla permits must be paid 100% upfront at the government’s given price. Any changes in permit pricing or booking terms are set by the relevant government wildlife authorities and are independent of Tripcare Adventures’ terms.
We may need to adjust itineraries due to unforeseen circumstances (e.g., weather, safety, supplier changes).
If major changes or cancellations occur, you will be informed in writing within 48 hours.
If we cancel a tour, you will receive a refund of all payments made, minus any non-recoverable costs.
Cancellations must be made in writing.
Cancellation fees apply as follows:
FIT (individual bookings):
45–30 days before departure: 25% of total price.
Less than 30 days: 100% of total price.
Groups:
91+ days before departure: 25% of total price.
Less than 90 days: 100% of total price.
Refunds (if applicable) will be made within 14 days.
Please note: Some accommodation facilities may impose higher cancellation charges during peak booking periods, such as December to February and June to August. These charges may be higher than the standard cancellation fees outlined in clause 4.. If such increased charges apply to your booking, we will inform you in writing at the quote stage and before you pay your final deposit. Once your deposit has been paid and a Confirmation Invoice issued, you will be liable for these higher cancellation charges.
If you have paid upfront for gorilla permits or domestic flights at the deposit stage, these are non- refundable and will be retained in addition to any applicable cancellation fees
If your cancellation is covered under your travel insurance policy, you may reclaim these charges. Tripcare Adventures can provide a cancellation invoice to support your insurance claim.
You participate at your own risk.
You must obtain comprehensive travel insurance covering medical care, lost luggage, cancellations, and emergencies.
You are responsible for having valid passports, visas, vaccinations, and other required travel documents. You must arrive at the meeting points on time as per your itinerary.
Respect local cultures, wildlife, and fellow travelers during your trip.
Special requests will be considered but cannot be guaranteed.
We welcome customers with special needs, but you must inform us before booking with full details so we can advise on suitability.
Not every destination may be suitable, and we reserve the right to refuse or cancel a booking if we cannot meet your needs.
Special requests such as food intolerances or meal preferences will be passed on to suppliers like hotels, but these are requests, not guarantees.
You must inform us promptly if any travel services included in your safari package are not provided as agreed or are performed improperly, and this affects your enjoyment of the trip. In such cases, you may be entitled to a price reduction, compensation, or both.
Tripcare Adventure will not be liable for any loss, injury, illness, damage, or death resulting from: Your actions or those of another member of your party;
A third party not connected to the travel services; or
Unforeseeable or unavoidable circumstances beyond our control, including extraordinary events. Wildlife and adventure activities carry risks which you accept by booking with us.
Clients may be asked to sign an additional waiver form for high-risk activities.
We are not responsible for delays, changes, or cancellations caused by events beyond our control (e.g., war, strikes, pandemics, extreme weather).
If such events last more than 10 days, the tour will be cancelled, and refunds will be made for unused services, minus non-recoverable costs.
Any complaints must first be raised with your tour leader during the trip.
If not resolved, complaints must be submitted in writing within 30 days of your tour’s end.
These Terms & Conditions are governed by Ugandan law.
Disputes will be resolved through negotiation or, if necessary, arbitration under the Uganda Tourism Board.
